Services

External sharing

Use SharePoint Online sites to share content with people outside your organization who do not have licenses for your organization’s Microsoft Office 365 subscription. When a site is shared in SharePoint Online, an email message is sent to the external user containing the invitation to join the site. Invitations can be sent to people with any type of email address, such as user@gmail.com, user@contoso.com, or user@Comcast.net. External users sign into the shared site via a one-time association of their email address with a Microsoft account.

Content organizer

The Content Organizer acts as a gatekeeper for documents. You can automatically manage some important library tasks, such as managing folder sizes and routing documents to different libraries or folders. This not only saves time but can help make sure that a document library is managed consistently.

Team sites

Add project functionality to your team site to help plan and track a project. This functionality includes a task list with a visual timeline, a calendar, and the Project Summary web part.

SharePoint 2013 workflow

SharePoint Online (Plan 2) includes many search features to help you find the information that you need to do your jobs. Search is a combination of relevance, refinement, and people. Features in the plan include Continous crawls, to help keep search results fresh by frequently crawling content in SharePoint sites, Deep links, Event-based relevancy, Expertise search, Graphical refiners, Hybrid search, and more!

Enterprise search

SharePoint Online (Plan 2) includes the Enterprise search. The search features, in addition to Plan 1 search features, include Content Search Web Part, Custom entity extraction, Extensible content processing, Query rules- advanced actions, search vertical : "video" and Tunable Relevancy.

E-discovery, ACM, Compliance

E-Discovery search allows users to search for electronically stored information (ESI) that can be used as evidence for compliance and litigation support. Searchable content includes structured content, like documents and list items, as well as blogs, wikis, news feeds, and content in Exchange mailboxes. Audit and Control Management (ACM) in SharePoint Online allows site collection administrators to use the audit feature to track which users have taken what actions on the sites, content types, lists, libraries, list items, and library files of site collections. Creating an exportable site collection policy enables SharePoint administrators to standardize the information management policies across the sites in an organization.

Excel, Visio, and InfoPath Forms services

With SharePoint Online, you can use Excel Online to view and interact with charts, tables, PivotChart reports and PivotTable reports in a browser window. You can also use the Excel Web Access Web Part to display Excel content in a SharePoint Site. Visio Services is a service application that lets users share and view Microsoft Visio Drawing (*.vsdx) and Visio 2010 Web drawing (*.vdw) files. Forms Service provides a Web browser form-filling experience in SharePoint, based on form templates that are designed in InfoPath.

Business connectivity services

SharePoint now provides the capability of using alerts for external lists, just as they have been used for traditional lists. A user can subscribe to be alerted when data changes on an external list. With the addition of the new App model in SharePoint, Business Connectivity Services (BCS) can now scope external content types at the App level instead of at the farm level. This gives great flexibility to App developers by allowing them to use external data inside their Apps.   

 

Benefits

SharePoint Online is now reorganized into three distinct hubs: Newsfeed, OneDrive, and Sites.

These hubs are available in a global navigation bar, and thus the social features associated with My Sites are fully integrated into the SharePoint experience. You no longer need to specifically visit your My Site in a web browser to access social features.

You can now invite people outside of your company, such as vendors, trusted business partners and customers to view, share and work with content on your sites.

Use the brand new Community site

SharePoint Online expands the discussion board concept by introducing Community Sites, which are site collections built using the brand new Community Site template. Community Sites encourage information sharing across teams and groups within an organization. They promote open communication by making it easy for users to both share their interests and expertise and learn from others with knowledge or experience in specific areas.

Manage documents with the new callout feature

Use the new callout feature with any document in a library to see a set of rich commands and contextual information. Open, share, or follow documents; view a document preview and other information; take action right away from the callout.
